This policy explains how Ratify Board (ABN 23 703 325 240) (“Ratify”, “we”, “us”) handles personal information. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What this policy covers
This policy covers personal information we collect through ratify.au (this website), when you contact us, and when you register interest in Ratify. The Ratify portal will have its own terms and data processing terms for customer data.
What we collect
When you fill in a form on this website we collect:
- your name, work email address and organisation
- your role, the number of boards you work with and your sector, if you tell us
- anything you write in a message field
- for template downloads, which template you asked for.
We also collect limited technical information with each submission: a one-way hash of your IP address (we never store the address itself), your browser’s user-agent string, the page you submitted from, the referring page, and any campaign (UTM) parameters in the link you followed.
We use Cloudflare Web Analytics to count visits. It does not use cookies or track you across sites. We do not use advertising pixels or Google Analytics.
Why we collect it
We use your information to:
- reply to your enquiry or demo request
- send templates you request
- tell you when early access to Ratify opens, and send occasional product updates
- understand which pages and campaigns bring people to Ratify
- protect this website from spam and abuse.
Marketing emails
When you join the waitlist or download a template, you agree to receive emails from us about Ratify. Every email tells you how to stop them, and we act on that request promptly, in line with the Spam Act 2003 (Cth).
Who we share it with
We do not sell personal information. We share it only with service providers who help us run this website and send email, under contracts that limit how they may use it:
- Cloudflare, Inc.: website hosting, security checks (Turnstile) and analytics
- Visolute: email delivery
- [PLACEHOLDER: any other service providers]
Some of these providers may store or process information outside Australia, including in [PLACEHOLDER: countries]. We take reasonable steps to make sure they handle it in line with the APPs.
Storage and security
Form submissions are stored in a database hosted by Cloudflare. We restrict access to the people who need it and keep information only as long as we need it for the purposes above, or as the law requires.
Access and correction
You can ask for a copy of the personal information we hold about you, or ask us to correct or delete it, by emailing contact@ratify.au. We will respond within 30 days.
Complaints
If you have a concern about how we have handled your personal information, email contact@ratify.au. We will respond within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
We may update this policy. The date at the top shows when it last changed.
